Identify the Property
Include the full property address and parcel information if available. If the transaction covers several parcels or the address is unclear, explain that in the request. The office needs to understand which property the survey is intended to cover.
Mention any buildings, improvements or property changes relevant to the request. If you have an older survey, provide its date and describe changes you know about since it was prepared. The office can discuss the information in relation to the current work.
Share the Available Documents
Start with the documents and instructions already in the file. Useful starting material can include the following:
- The title-company or lender survey request
- Available title documents and property descriptions
- An existing survey, with its date
- Specific requirements from the attorney or other intended recipient
Tell us what is still being gathered. You can begin the conversation with the property and purpose, and the office can discuss document exchange and anything else needed to establish the scope.
Name the Contacts and Recipients
Provide the ordering contact, company if applicable, and the person who can answer questions about the transaction requirements. Identify who should receive updates and the completed survey, together with any file reference they use.
If you're requesting work on another person's behalf, explain your role. The office can confirm the appropriate instructions and recipients for the order as the request is discussed.
